Terms of Service

1. About these terms
These terms govern your use of InvoiceSA ("we", "us", "our"), an invoicing web application operated from South Africa and available at invoicesa.co.za. By creating an account or using the service, you agree to these terms. If you do not agree, please do not use InvoiceSA.
2. The service
InvoiceSA lets you create invoices and quotes, send them to your customers via WhatsApp or email, accept online payments through PayFast, and track what you are owed. InvoiceSA is a tool for generating and managing your business documents — you remain responsible for the accuracy, legality, and tax compliance of every invoice and quote you send, including VAT registration status, VAT numbers, and amounts.
3. Your account
- You must be at least 18 years old and use InvoiceSA for business purposes.
- You are responsible for keeping your login credentials secure and for all activity under your account.
- The information you provide (business details, banking details, VAT number) must be accurate and kept up to date.
- One account is intended for one business. Contact us if you run multiple businesses.
4. Plans, billing and cancellation
- The Free plan includes a limited number of invoices and quotes per month at no cost. No credit card is required.
- Paid plans (Starter and Pro) are billed monthly in advance, in South African Rand, via PayFast. Current pricing is shown on our pricing page.
- Your subscription renews automatically each month until you cancel.
- You can cancel at any time from your billing settings. Cancellation stops future billing; you keep paid-plan access until the end of the billing period you have already paid for.
- We do not offer refunds for partial billing periods, except where required by South African law (including the Consumer Protection Act).
- If a subscription payment fails, we may downgrade your account to the Free plan after a reasonable grace period. Your data is not deleted when you are downgraded.
- We may change our pricing with at least 30 days' notice by email. Price changes take effect from your next billing cycle after the notice period.
5. Payments to you via PayFast
If you connect your own PayFast account to accept online payments on your invoices, those payments are processed directly between your customer and your PayFast account, under PayFast's own terms. We are not a party to those transactions, do not hold your funds, and are not responsible for disputes, chargebacks, or refunds between you and your customers.
6. Acceptable use
You may not use InvoiceSA to:
- Send fraudulent, misleading, or fake invoices or quotes.
- Invoice for illegal goods or services.
- Send spam or unsolicited bulk messages via the email or WhatsApp features.
- Attempt to gain unauthorised access to the service, other users' data, or our infrastructure.
- Resell, copy, or reverse-engineer the service.
We may suspend or terminate accounts that violate these rules. Where reasonable, we will warn you first.
7. Your content and data
You own the content you create in InvoiceSA — your invoices, quotes, customer records, and business details. You grant us the limited rights needed to store, process, and transmit that content in order to operate the service (for example, generating PDFs and delivering emails on your behalf). How we handle personal information is set out in our Privacy Policy, in line with POPIA. You are responsible for having the right to use the customer information you enter.
8. Availability and support
We aim to keep InvoiceSA available at all times, but the service is provided "as is" and we do not guarantee uninterrupted availability. We may perform maintenance, and we rely on third-party providers (hosting, database, email, payments) whose outages are outside our control. We recommend downloading PDF copies of important invoices. 9. Liability
To the maximum extent permitted by South African law, we are not liable for indirect or consequential damages — including lost profits, lost business, or unpaid invoices — arising from your use of the service. Our total liability to you for any claim is limited to the subscription fees you paid us in the three months before the claim arose. Nothing in these terms limits liability that cannot be excluded under the Consumer Protection Act or other applicable law.
10. Termination
You can stop using InvoiceSA and request deletion of your account at any time by contacting us. We may terminate or suspend your account for breach of these terms. If we discontinue the service, we will give you at least 30 days' notice and the opportunity to export your data.
11. Changes to these terms
We may update these terms from time to time. We will notify you of significant changes by email or via a notice on our website. Continuing to use InvoiceSA after changes take effect means you accept the updated terms.
